What is a signing process from beginning to end?

As an overview:

  • Custodian selects an existing workflow template or creates a new workflow for their ePak.
  • Custodian uploads and attaches one or more documents to the ePak.
  • Custodian designates where signatories will place their signature on the ePak document(s) and sends the request.
  • Signatories sign the ePak document(s).
  • Custodian confirms all requested signatures have been applied.
  • Custodian removes ePak document(s) from the system (if LTS is off) or system deletes it automatically after a set period or saves it forever under LTS.

As a step-by-step activity:

  • Author uploads the document(s).
  • The custodian selects an existing workflow template, or creates a new workflow for their ePak, and uploads the file(s) and attaches them to the ePak.
  • The custodian designates where signatories will place their signature on the ePak document(s) and sends the request.
  • The Signatories receive email notification that their signature is requested.
  • The Signatories review and sign the document, or they may reject/delegate it (if required).
  • The Signatories can download a copy of the unsigned/signed document.
  • The ePak Custodian receives email indicating that signing is complete.
  • The ePak Custodian confirms all requested signatures have been applied.
  • The ePak Custodian downloads and then removes the signed original and e-photocopy versions of the document or it will be removed by automatic deletion after a set period unless LTS is set to ON in which case the completed ePak will be stored indefinitely.
